Job Description
Description We are looking for a highly organized and detail-oriented Administrative Assistant to support housing programs and services in Merced, California. In this long-term contract position, you will play a crucial role in ensuring the smooth operation of administrative tasks and program coordination. This role requires effective communication skills and the ability to interact courteously and efficiently with tenants, landlords, staff, and government representatives.
Responsibilities:
- Manage office tasks such as scheduling appointments, handling correspondence, and maintaining organized files.
- Draft and prepare reports, letters, and other well-structured documents as required.
- Assist in the coordination of housing programs by maintaining resident files, verifying program eligibility, and ensuring compliance records are up-to-date.
- Review applications for accuracy and completeness, providing support during the submission process.
- Organize and facilitate meetings, workshops, and community outreach events.
- Input and update program data in management systems, ensuring accuracy and producing reports on occupancy, waitlists, and funding.
- Address community inquiries and complaints, providing solutions or directing concerns to the appropriate team member.
- Maintain compliance with housing regulations by preparing documentation and assisting with audits and inspections.
- Stay informed on housing policies and regulations, ensuring all activities adhere to legal standards.
- Deliver excellent customer service to stakeholders, including tenants and landlords. Requirements
- High school diploma required; associate degree or coursework in public administration, business, or related fields is preferred.
- Minimum of 2 years of experience in administrative roles, ideally within public housing or nonprofit organizations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential; experience with housing or property management software is an advantage.
- Strong organizational skills with the ability to manage time and multitask effectively.
- Exceptional communication skills, both written and verbal.
- Ability to interact professionally and empathetically with individuals from diverse backgrounds.
- Fluency in Spanish is required for conducting business and addressing community needs.
- A keen attention to detail and commitment to maintaining confidentiality and compliance standards.
