Administrative Assistant / Bookkeeper to join our on-site team and help keep our office and finances running smoothly.
Position Summary
As our Administrative Assistant / Bookkeeper, youll play a key role in supporting both the day-to-day administrative needs and the financial operations of the Association. From greeting owners and guests to managing QuickBooks, reconciling accounts, processing payroll, and preparing reports, this is a hands-on role that requires accuracy, integrity, and great communication skills.
Key Responsibilities
- Provide administrative support and serve as the first point of contact for owners, guests, vendors, and contractors.
- Manage bookkeeping functions using QuickBooks, including accounts payable/receivable and general ledger entries.
- Prepare monthly financial statements, assist with annual budget, and work with external accountants and auditors.
- Process payroll, maintain accurate records, and ensure compliance with applicable laws and association policies.
- Support Board of Directors meetings (e.g., preparing reports, transcribing minutes,).
- Maintain filing systems, track contracts, and assist with special projects and office tasks.
What Were Looking For
- Experience: Minimum 2 years bookkeeping/accounting experience. Condominium, Home Owner Association, or property management experience is a plus.
- Education: Associate degree in Accounting, Business, or related field preferred.
- Skills: Proficient in QuickBooks, Microsoft Office (Excel, Word, Outlook), and general office software. Strong organizational, multitasking, and customer service skills.
- Attributes: Trustworthy, detail-oriented, and able to handle sensitive financial and personnel information with discretion.
- Other Requirements: Valid Florida drivers license and ability to pass a background check.
Schedule & Compensation
- Hours: MondayFriday, 8 a.m.4 p.m. (occasional evenings/weekends for meetings)
- Status: Full-time, non-exempt
- Compensation: Competitive pay based on experience and qualifications. Benefits discussed during interview.
