HVAC Administrative Project Coordinator

Commercial Express HVAC, located in Sterling, Virginia, is seeking an Administrative Project Coordinator to join our team. This role will be key in ensuring the smooth and efficient operation of our administrative functions, helping to contribute to the timely and successful completion of projects. The ideal candidate will have strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

• Assist with daily scheduling and coordination of projects.
• Input and prepare documentation to activate and schedule work in the system.
• Maintain accurate records and data for both completed and ongoing projects.
• Prepare schedules based on workload demands and deadlines.
• Generate regular reports on jobs in progress, backlog revenue, and other department metrics.
• Manage work orders and ensure they are entered accurately for billing purposes.
• Assist in the preparation of invoices for completed work.
• Generating and managing material purchase orders

Required Qualifications:

• Proven experience in a busy office environment, with the ability to handle multiple tasks.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Fast and accurate data entry skills.
• Strong attention to detail and exceptional organizational skills.
• Dependable and reliable, with a proactive attitude.
• Experience or familiarity with the HVAC, electrical, plumbing, or construction industries is highly preferred.
• Experience in scheduling, dispatching, or project coordination is a plus.
