Legal Administrative Assistant – Medical Malpractice Department
?? Position: Full-Time, In-Office (No Remote)
A prestigious law firm seeks a full-time Legal Administrative Assistant with 3–5 years of experience to join our Medical Malpractice (Med Mal) department in our Orlando office. This position offers the opportunity to work in a professional, fast-paced legal environment supporting experienced defense attorneys.
Key Responsibilities
Perform secretarial and clerical duties to support assigned attorneys.
Open and review incoming mail; log attorney time on time sheets as necessary.
Enter attorney time sheets into the system daily.
Answer and direct telephone calls, provide non-legal information when appropriate, and take detailed messages.
Transcribe dictation using the BigHand dictation system. Occasionally prepare correspondence independently for attorney review and approval.
Prepare and format legal documents as required.
Maintain and organize attorney files; request assistance from the file clerk or floor supervisor when needed.
Schedule depositions, meetings, and appointments.
On occasion, deliver or collect legal documents at the courthouse or other law offices as needed.
Make travel arrangements and hotel reservations for attorneys.
Maintain attorney calendars and diary systems.
Perform additional administrative duties as assigned.
Minimum Requirements
Experience: 3–5 years of defense litigation experience required; Casualty and/or Health Care (Medical Malpractice) experience preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) required; experience with BigHand dictation system a plus.
Workload Management: Ability to handle a high-volume workload efficiently in a fast-paced environment.
Communication: Strong verbal and written communication skills to interact effectively with clients, attorneys, and colleagues.
Attention to Detail: Excellent typing, proofreading, and organizational skills with the ability to multitask and prioritize.
Teamwork: Reliable, collaborative, and able to work well within a team-oriented environment.
