Position Summary:

The Medical Office Manager is responsible for oversight of front desk staff, daily operations and administrative management as per OASAS and CARF guidelines and regulations for an Opioid Treatment Program. Perform a wide variety of clerical, as well as administrative tasks and activities. Such activities include a range of tasks indicative of participation in solving the administrative and daily operational problems of the office. The office manager is responsible for and supervises the work of the secretary/clerical/receptionist staff. The medical practice manager is a member of the Center for Healing Senior Staff.

Primary Responsibilities:
  • Manages medical records requests according to agency policy.
  • Purchases office and program supplies in accordance with agency procedures.
  • Reviews and adjusts reports from laboratory services to ensure accuracy.
  • Prepares on a timely basis periodic agency reports based on statistical and narrative information supplied by the organization and staff (i.e., OASAS forms).
  • Oversees management of Central Registry Lighthouse System.
  • Maintains up-to-date records of admissions and discharges.
  • Reports census changes and totals to the program director weekly.
  • Responsible for monthly census match in EHR, OASAS, and Lighthouse.
  • Oversees data collection, updates of information, and hold computer company accountable for reports, etc., that are due.
  • Responsible for the collection of fees, yearly update of income verification and follow up with patient accounts.
  • Manages invoices, uploading and coding into electronic payment system for timely payment.
  • Maintains and reconciles petty cash.
  • Oversees daily deposits and communicates with Billing Department.
  • Responsible for oversight Medicaid collection and confirming eligibility of clients.
  • Maintains binder with updated fire drills, safety inspection report, elevator, boiler and sprinkler inspections.
  • Responsible for physical plant of clinic, places work orders with facilities, communicates with cleaning company, manages orders.
  • Point person for hardware/software issues in conjunction with program director or designee.
  • Responsible for ensuring that all appropriate licenses are current (FDA, Health Department, Article 33, etc.).
  • Determines appropriate assignments for the secretary/clerical/receptionist employees in coping with peak workloads or temporary emergencies.
  • In collaboration develops and implements office procedures to ensure efficient clinic flow
  • Informs and instructs both program and secretary/clerical/receptionist staff in the implementation of agency office procedures.
  • Responsible for personnel time records of staff.
  • Perform other tasks and special projects as assigned by the direct supervisor.
Qualifications:
  • Two years of medical office management.
  • Excellent written and verbal communication skills.
  • Must to be able manage across multiple departments and be flexible.
