Job Title: Special Events Coordinator
Overview:
As an Event Coordinator, you will be responsible for planning, organizing, and executing various events for our organization. This role involves managing all aspects of events from inception to completion, ensuring they are executed seamlessly and meet the organization's objectives.
Key Responsibilities:
Event Planning and Execution:
Collaborate with internal stakeholders to determine event objectives, themes, and requirements.
Develop event concepts, timelines, and budgets to ensure successful execution.
Coordinate with vendors, suppliers, and contractors to secure necessary services and resources.
Oversee all logistical aspects of events, including venue selection, catering, transportation, and accommodations.
Supervise event setup, execution, and breakdown to ensure everything runs smoothly.
Budget Management:
Develop and manage event budgets, ensuring expenses align with allocated funds.
Negotiate with vendors to secure competitive pricing and maximize budget efficiency.
Monitor expenses throughout the event planning process and adjust as needed to stay within budgetary constraints.
Marketing and Promotion:
Work with the marketing team to develop promotional strategies to attract attendees to events.
Create marketing materials, including invitations, flyers, and social media posts, to promote events effectively.
Utilize various channels, such as email campaigns, social media, and website updates, to increase event visibility and attendance.
Client and Vendor Relations:
Serve as the primary point of contact for clients, vendors, and sponsors throughout the event planning process.
Build and maintain positive relationships with clients, ensuring their needs and expectations are met.
Liaise with vendors and suppliers to coordinate deliveries, installations, and other logistical arrangements.
On-Site Event Management:
Oversee all on-site event operations, including registration, attendee management, and guest services.
Address any issues or concerns that arise during events promptly and effectively.
Ensure compliance with all relevant regulations, permits, and safety standards.
Qualifications:
Bachelor's degree in Event Management, Hospitality Management, Marketing, or related field (preferred).
Proven event planning experience and coordination, with a strong record of successful event execution.
Excellent organizational and multitasking abilities, with the ability to manage multiple projects simultaneously.
Effective communication and interpersonal skills, with the ability to collaborate effectively with internal teams, clients, and vendors.
Proficiency in event management software, such as Eventbrite, or similar tools.
Creative thinking and problem-solving skills, with a keen eye for detail.
Flexibility to work evenings, weekends, and holidays as required by event schedules.
