Position Overview: The Contract Administration Manager plays a critical role in managing and overseeing the lifecycle of complex, high-dollar construction contracts. This individual will ensure contracts are processed accurately, terms are negotiated efficiently, and risk is mitigated to protect the organization. The role involves managing a team, mentoring, and collaborating closely with legal, operations, and external stakeholders.

Key Responsibilities:

  • Team Leadership & Mentorship : Manage a team of 4 direct reports, including 3 analysts and 1 administrative staff, providing ongoing training, support, and professional development opportunities. Ensure the team is aligned with departmental and company-wide goals.
  • Contract Negotiation & Risk Mitigation : Lead negotiations with third-party customers for complex contracts, ensuring that the terms meet the company’s risk tolerance and legal requirements.
  • Contract Processing : Oversee the preparation, review, and execution of contracts to ensure compliance with company policies and that operations understand and agree to contract terms.
  • Collaboration & Communication : Serve as the primary liaison between the legal team, operations departments, and external clients to facilitate smooth contract execution and issue resolution.
  • Training & Development : Design and conduct in-person and remote training presentations on various contract-related topics to educate internal teams and drive operational excellence.
  • Metrics & Reporting : Develop and track key performance indicators (KPIs) to measure the effectiveness of the contract administration process, identifying areas for improvement.
  • Special Projects : Take the lead on special projects related to contract management, operational efficiency, or process improvement in collaboration with the legal department and other internal teams.
Requirements:

Required Qualifications:

  • Experience : At least 10 years of experience in construction contract administration, with a strong background in negotiating, drafting, and managing high-value contracts.
  • Leadership Skills : Experience leading teams and mentoring staff in a high-pressure, fast-paced environment.
  • Industry Knowledge : Knowledge of construction industry best practices, insurance regulations, and contract risk mitigation strategies.
  • Communication & Negotiation : Excellent verbal and written communication skills with the ability to negotiate complex terms effectively.
  • Education : A bachelor’s degree in Business, Law, or related field is required; relevant professional experience will be considered.

Preferred Qualifications:

  • Experience in leadership roles within the construction or insurance sectors.
  • A strong understanding of compliance and legal requirements specific to the construction industry.
  • Ability to drive innovation in a lean team environment.
