Job Description
We are seeking a dynamic and experienced Practice Manager/Practice Administrator to oversee the day-to-day business operations of a fast-paced Medical Aesthetics and Wellness Practice. This key leadership role will ensure the smooth functioning of the practice across four critical management pillars: Financial, Operations, Marketing, and Human Resources. The ideal candidate will have a strong background in healthcare administration, exceptional leadership abilities, and a passion for operational excellence in a medical aesthetics or wellness environment.
Key Responsibilities:
1. Financial Management
Assist in the development and management annual budgets, financial forecasts, and financial performance metrics.
Oversee billing, collections, and revenue cycle management to maximize profitability.
Monitor financial reports, including P&L, cash flow, and other key performance indicators (KPIs) to ensure the practice meets its financial goals.
Work with external accountants or auditors to ensure compliance with financial regulations.
Identify opportunities for cost reduction and process improvement to enhance overall profitability.
Manage vendor relationships and negotiate contracts for medical supplies, equipment, and services.
2. Operations Management
Oversee daily clinic operations, ensuring efficiency and high-quality patient care.
Implement and maintain protocols for patient scheduling, check-in, and treatment to ensure optimal flow and minimal patient wait times.
Ensure compliance with healthcare regulations, including HIPAA and OSHA standards.
Manage the procurement and maintenance of clinical supplies and equipment.
Lead efforts to streamline operational processes, reducing waste and improving clinic efficiency.
Monitor patient satisfaction and implement strategies for continuous improvement.
3. Marketing Management
Collaborate with the marketing team to develop and execute marketing strategies that drive patient acquisition, retention, and revenue growth.
Oversee digital marketing efforts, including social media, email marketing, SEO, and online advertising.
Track and analyze marketing campaign performance, making data-driven decisions to improve ROI.
Build and maintain relationships with community partners, local businesses, and industry influencers to promote the practice.
Implement patient referral programs, loyalty initiatives, and special promotions to drive engagement and patient loyalty.
4. Human Resources Management
Lead the recruitment, hiring, training, and onboarding of clinical and administrative staff.
Manage employee performance, including setting goals, conducting evaluations, and developing performance improvement plans.
Oversee payroll, benefits administration, and employee relations.
Foster a positive and collaborative workplace culture that promotes teamwork, professional growth, and job satisfaction.
Ensure compliance with employment laws and regulations, including EEO, FLSA, and labor standards.
Develop and implement staff training programs to enhance skills and keep the team updated on industry trends.
Qualifications:
Bachelor’s degree in Healthcare Administration, Business, or a related field (Master’s degree preferred).
5+ years of experience in healthcare administration, with at least 3 years in a leadership role within a medical aesthetics, wellness, or related healthcare setting.
Strong financial acumen and experience managing budgets and financial performance.
Proven track record of driving operational improvements and increasing practice profitability.
Experience growing, leading, and developing high-performing teams in a fast-paced clinical environment.
Excellent communication, organizational, and leadership skills.
Proficient in practice management software and general office technologies.
Ability to manage multiple priorities, meet deadlines, and solve problems effectively.
